Cornerstone – Applicant Statuses and Dispositions

How to Access the Cornerstone System:

  1. Open the internet browser and go to: apps.uillinois.edu
  2. Select Cornerstone - Chicago (found on the Human Resources "card")
  3. Log in to Cornerstone using your net ID and password

Cornerstone Applicant Statuses and Dispositions Overview

  • Applicant statuses are used to move the applicant through the recruiting
  • The available applicant statuses can differ between the position types. Available dispositions do not vary between positions, though some are specifically used for certain positions.
  • Generally, emails are not sent to applicants upon a change in their status, or when adding a The exception is when an applicant is moved into a disposition of Voluntary Withdrawal, they will receive an email with instructions on how to reapply if desired.

Applicant Statuses

  1. Faculty and Academic Professional – Below are the applicant statuses used for Faculty and Academic Professional position types. Statuses with an asterisk next to them must be selected in order to proceed forward. The exception to this is the Closed status which can be selected at any time.
    1. Meets Minimum Qualifications* – This status should indicate which applicants meet the minimum qualifications. This is a required status.
    2. Interview (screening/phone interviews/etc.) – This status should indicate which applicants you will be interviewing in the first Cornerstone interview functionality will be made available if you would like to use it. Please refer to the interview job aid for further information.
    3. Finalist or Second or Third Interview – This status should indicate which applicants will be interviewed in the second or final Cornerstone interview functionality will be made available if you would like to use it. Please refer to the interview job aid for further information.
    4. Offer Extended – This status should be given to a candidate when you have decided to send an offer letter. Functionality in Cornerstone will be made available to generate an offer letter when in this status.
    5. Request BGC* – This status should be given to a candidate when they are ready for the Background Check. No other action is needed other than putting them into this status. This is a required status.
    6. Background Check Complete – This is used by HR only to indicate when the background check is complete.
    7. Hired – This is used to indicate the applicant that you have. Once the number of hires equals the number of openings, the requisition will close automatically. Prior to submitting the OAE appointment form, all applicants should either have a Finalist or a Closed/Dispositioned status.
    8. Closed/Dispositioned – This is the status you use for those candidates you will not be proceeding with on this; You will be prompted to indicate a reason (disposition status) when closing. Prior to a requisition being closed, all applicants should either have a Hired status or a Closed/Dispositioned status.
  2. Required Statuses - Required statuses are displayed in the drop-down with an asterisk to the right of the status name. All applicants' statuses can be changed to any previous status in the status workflow or to Closed. However, statuses that are configured as Required cannot be skipped (except when changing the status to a previous status or to Closed).
    1. When changing the status of an individual applicant, the status can be changed up to the first required status in the status workflow.
    2. Moving a candidate back in the status list will force you to re-select a required status to continue forward.
      1. Changing a status before action can be taken during that step also can delay your hiring process.

Dispositions Defined

  1. If a candidate does not advance through the search process, the candidate status must be changed to Closed, and the appropriate Disposition reason should be selected.
  2. Below are the list of dispositions and their definition and/or how they would be used:
    1. Does Not Meet Minimum Qualifications – Assign when the search committee or hiring manager determines the minimum qualifications, experience, and/or skills are lacking.
    2. Degree Requirement Not Met– Assign when the search committee or hiring manager determines the minimum education is lacking.
    3. Experience Required – Amount Not Met – Assign when the search committee or hiring manager determines the minimum training, licenses, and/or certifications are lacking.
    4. Experience Required – Type Not Met – Assign when the search committee or hiring manager determines the minimum qualifications, experience, and/or skills are lacking.
    5. No Licensure or No Certification – Assign when the search committee or hiring manager determines the minimum training, licenses, and/or certifications are lacking.
    6. Incomplete Application – Assign when the applicant has missing documents that were requested in the advertisement or their information is incomplete.
    7. No response - Invite – Assign when you reach out to a candidate to schedule an interview and they do not respond after two attempts to contact them.
    8. Not Interested - Invite – Assign this status when a candidate declines an interview.
    9. No show – Assign when a candidate does not show up for an in-person or virtual interview.
    10. Finalist - Not Selected – Assign for candidates who were interviewed as a finalist and not selected. The explanation for the disposition of these candidates will be requested on the appointment form.
    11. Denied/Dept Interview - Assign for candidates who were interviewed as a semi-finalist and not selected to move to the finalist stage. An explanation for the disposition of these candidates will be requested on the appointment form.
    12. Offer Declined – Assign this status when a candidate declines a verbal or written offer.
    13. Voluntary Withdrawal – Assign when an applicant asks to withdraw their name from the candidate pool.
